Website privacy policy
This policy explains how Bipedortho handles personal information collected when you visit its information website or contact it through the site.
About this policy
9451-0138 QUÉBEC INC., doing business as Bipedortho
Effective date: October 8, 2026
You can browse general information about our services without opening a patient or professional account.
For these activities, we apply Québec’s Act respecting the protection of personal information in the private sector and, where applicable, Canada’s Personal Information Protection and Electronic Documents Act.
1 Scope of this policy
This policy applies to the information pages of bipedortho.com, its contact forms, newsletter subscriptions and the communications arising from these activities. It covers visitors, people seeking information, newsletter subscribers and representatives of organizations that contact us.
Account creation, needs assessments, personalized product selections, orders and services available on bipedorthoapp.com are described in the Bipedortho Services Privacy Policy. If a service feature is accessible through bipedortho.com, that second policy applies to the information processed within that feature. A link to it is provided at the relevant time.
Reading this policy or browsing the website does not constitute general authorization to process your health information, send you promotions or activate optional tracking tools.
2 Information collected and reasons for collection
When you contact us, we collect the information needed to respond to your request: your name, contact details, organization name if relevant, and the content of your message. We use it to reply, follow up on the exchange and address a question or complaint.
Required form fields are identified. If information is needed to respond to your request and you do not provide it, we explain the resulting limitation. Providing optional information is not a condition of access to the site’s general information.
During browsing, servers may collect your IP address, browser and device type, connection date and time, pages requested and the referring page’s address. This information supports the site’s operation, error detection and security. IP addresses and browsing data may be personal information even if they do not directly reveal your name.
Information from optional analytics tools or external content is collected only in accordance with the choices described in section 3. We do not use messages received to create an advertising profile of your health status.
General forms are not intended to receive medical records, prescriptions, clinical photographs, health insurance numbers, social insurance numbers or payment card information. To send sensitive information, contact us for instructions on the appropriate method. If you send it by mistake, we restrict access and agree with you on how it should be handled.
3 Cookies and external content
A cookie is a small file stored on your device. Some cookies are necessary to provide the functions you request and maintain site security. They are not used for advertising. Blocking them in your browser may prevent certain features from working.
Where offered, optional cookies are used to measure site traffic, collect your feedback or allow external content to load. You can accept or refuse them by category in the cookie management tool. They remain disabled until you accept them. Refusing optional cookies does not prevent access to general information.
The settings panel identifies the tools actually used, their providers, purposes and durations. You can change your choices through the “Cookie settings” link at the bottom of the site. Changes apply to future collection; your browser also lets you delete files already stored.
Embedded videos, maps or other content may send your IP address and browsing information to the external provider as soon as they load. When content involves optional tracking, it stays blocked until you activate it. The site identifies the provider and, where possible, lets you open the content on the provider’s own site instead.
Any optional feature that can identify you, locate you or build a browsing profile is explained before activation. We do not treat continued browsing as activation of these features.
4 Newsletter communications and promotions
We use your contact details to respond to your request and provide the follow-up you asked for. Requesting information or simply browsing the site does not subscribe you to our newsletter.
When you voluntarily subscribe to our newsletter and confirm your choice through a positive action, you authorize Bipedortho to use your email address and the contact details provided to send its newsletter, news, information about its products and services, and offers and promotions by email. This consent is optional and separate from any other acceptance or service request.
The subscription form clearly states the communications you consent to receive, Bipedortho’s identity and contact details, and your right to withdraw consent. Authorization is obtained through an unchecked checkbox or a subscription button whose label clearly states that authorization. We retain evidence of your consent and the text presented to you.
Every newsletter or promotional message identifies Bipedortho, provides its contact details and includes a link to unsubscribe easily and at no cost. You can also email info@bipedortho.com to withdraw consent. We act on your request as soon as possible, within ten business days at the latest. Unsubscribing does not close a service account or prevent communications needed for an ongoing request. Mixed-purpose or commercial messages remain subject to the applicable rules of Canada’s anti-spam legislation.
5 Access to information and service providers
Within Bipedortho, only authorized people who need information for their duties have access to it. Depending on the request, this may include people responsible for customer service, partnership management, technical support or personal information protection.
We may entrust certain tasks to hosting, maintenance, form or electronic communications providers. They receive only the information needed for their assignment. When information is entrusted to them on our behalf, written commitments govern its use, confidentiality, security and handling at the end of the assignment.
Our contact form is provided by Salesmate. It collects your name, email address, situation, subject and message, as well as your phone number and organization if you provide them. Your request is stored in Salesmate and Bipedortho receives a notification to follow up. The contact form and its spam protection load automatically as you approach the contact section. Submitting a request does not subscribe you to the newsletter.
Newsletter subscriptions are managed through Salesmate. The form collects your name, email address and consent. You receive an email asking you to confirm your subscription. The Salesmate form and its protection against automated submissions load only when you choose to open the form.
Google Analytics 4 measures traffic and selected interactions only after you allow Audience measurement. Free-form page URL parameters and form contents are excluded from our tracking events. Cookies created by this integration expire within 180 days. Advertising personalization and Google Signals are disabled. Withdrawal stops future measurement but does not delete data already sent to Google.
We do not sell or rent your personal information. We do not share it with a partner for that partner to solicit you independently without applicable authorization. Information may, however, be disclosed without consent where permitted or required by law, limited to what is necessary.
6 Processing outside Québec
Some providers may process information or make it accessible outside Québec, including in another province or country. This also applies to remote technical support and backups, not only the location of primary servers.
Before entrusting such processing to a provider, we must conduct a privacy impact assessment, verify that the information will receive adequate protection and enter into the required written agreement. The laws of the place of processing may allow its competent authorities to access the information. You may ask us about the processing locations applicable to the site.
7 Protection and retention
We apply organizational, technical and contractual measures appropriate to the sensitivity of the information. These include access restrictions, confidentiality obligations and the security measures needed for the site to operate. No technology can guarantee the complete absence of risk.
We retain communications for the time needed to handle a request and its follow-up, and then in accordance with legal obligations or the need to document a dispute. Newsletter subscription details are used until consent is withdrawn. After an unsubscribe request, we retain only the information necessary to respect that choice, document consent or meet a legal obligation. Technical logs and cookies follow the retention periods established for their purposes. You may ask us which retention periods apply to your information.
When information is no longer needed, we securely destroy it or, where a legitimate use warrants it, anonymize it in accordance with applicable requirements. Removing your name alone is not sufficient to make data anonymous.
If a confidentiality incident occurs, we take the necessary steps to limit its consequences, assess the risk and prevent a recurrence. Where required by law, we promptly notify the Commission d’accès à l’information and the people concerned. We maintain the required incident register.
8 Your rights and remedies
You can request access to the information we hold about you and ask for corrections. In cases provided for by law, you can request that computerized information collected from you be provided in a structured, commonly used format, including to a person or organization authorized to collect it. This portability right does not automatically extend to information created or inferred, or obtained from third parties.
You may withdraw consent to a use or disclosure, subject to applicable legal obligations. We explain the practical effects of withdrawal on an ongoing request. You may also request that information stop being disseminated or be de-indexed where the legal conditions are met.
Send your access or correction request in writing to the person identified in section 9. We verify your identity or your representative’s authority through proportionate means. For requests governed by Québec’s private-sector privacy law, we respond no later than thirty days after receipt. Any refusal states the reason and the available remedies. Any permitted fees are disclosed in advance.
You may submit a complaint to our privacy officer, who will review it and communicate the outcome and relevant measures. You may also contact the Commission d’accès à l’information du Québec at cai.gouv.qc.ca without giving up any other remedy.

10 Changes to this policy
